Moving an office is a different animal than moving a home. We have done both since 2010, and the honest truth is that business relocations require a level of coordination that most companies underestimate until they are already in the middle of one. Good organization and the right moving partners make the difference between a rough week and a real disaster.
Why an office move is harder than moving a home
- An office move can involve a handful of people or close to a hundred, depending on your headcount. Think about what it would take to coordinate a family of a hundred members all packing at once, and you start to get the picture.
- Most businesses cannot simply shut down for a week. The move causes disruption no matter what, but companies usually need to keep that disruption as short as possible, which adds pressure to every decision.
- Depending on your industry, you may be moving sensitive data in hard copy files, on servers, or both. That requires a plan, not just boxes.

How to prepare for an office move
- Assign a project manager before anything else. Treat the relocation as a project with milestones. Moving day is one milestone, not the whole project.
- Hold regular check-ins with your internal project team. Communication inside your own organization is just as important as communication with your movers. People are more upset by being left out of the loop than by almost anything else.
- Tell your employees early. Each department needs time to prepare on its own terms, and surprises create resentment.
- Notify clients, customers, and business partners about any interruptions that will affect them. Do not make them find out when they call and no one answers.
- Share your new address before moving day, including the exact date it becomes official.
- Build a buffer into your relocation budget. Unforeseen costs show up on almost every office move. Having room for them is not pessimism, it is planning.
- Use the move as a reason to declutter. Office moves and home moves share this in common: you will pay to move everything you do not sort through first, so sort through it first.
- Audit your inventory before moving day so you know exactly what is going and what is not.
- Be deliberate about what you pack early and what you keep accessible. Once something is in a box, people will need it. Pack in stages and label so that last-minute access is still possible.
